Project Coordinator

The Project Coordinator is responsible for providing administrative support for the Vice President, Project Management. As a key member of the Project Management team, this role will be responsible for procurement activities, ensuring timely and accurate ordering, delivery, and tracking of supplies and materials for our hotel renovation projects.

Contract Term: 6-month contract with possibility of extension depending on project duration and completion.

Annualized Compensation Range: $54,231.48 – $67,789.35. Our Total Rewards package also includes:

Responsibilities and Duties:

  • Manage end-to-end procurement of supplies and materials for renovation projects, including FF&E.
  • Liaise with vendors, contractors, designers, architects, and purchasing agents to source materials and negotiate pricing.
  • Track and coordinate the delivery and receipt of materials and ensure alignment with project timelines.
  • Maintain a procurement tracking system, including documentation and cataloguing of orders and specifications.
  • Work closely with Site Supervisors to anticipate material needs and resolve supply chain issues proactively.
  • Assist with budget tracking and cost analysis related to procurement activities.
  • Assist with projects, including receiving and organizing project documentation from consultants and hotels.
  • Distribute and track official documents to consultants required for projects.
  • Assist with budget planning and development.
  • Issue capital purchase orders and review capital invoice payment requests; follow up with suppliers and consultants as required. 
  • Participate in site meetings, document meeting minutes and follow up on action items.
  • Other duties as assigned.

  • Strong communication, problem solving and project leadership skills.
  • Self-motivated, able to work and meet tight deadlines with minimal supervision.
  • A customer oriented approach to work; ability to work effectively with different people.
  • Knowledge in procurement of FF&E.
  • Knowledge in construction and renovations.
